Program Completion Time Limit

It is OCMT’s expectation that every student completes their program within allotted time as stated in the student’s agreement contract. The College however understands that extenuating circumstances may arise whereby a student requires a leave during the course of their program or requires extra time to complete their program. Students will generally be supported during those periods. In all cases, a leave request must be formally sent in writing to the Campus Administrator/Program Coordinator for review and approval.

To ensure program’s relevance is in line with industry standards and employment market dynamics, OCMT will allow up to maximum same number of years as the original program duration. For example, a one-year program will have up to two years time allowance. An 18-month or two-year program will be extended up to three or four years without penalty.

Given that some programs comprise co-op requirements, the College will honour the restricted timelines set for completing such co-op placements. If a student in a program that includes co-op requests a medical emergency leave close to the start of the co-op placement, a medical note will have to be provided. Upon receipt of such medical note, the College will work with the placement host to agree on a suitable date for the commencement of the co-op.

For non-medical related leave requests at the beginning of a co-op placement, the student will be responsible for seeking another placement organization and must complete their co-op requirement before the end of six months of the maximum allowable period to complete their program.

Sexual Violence and Harassment Policy 

  1. Policy Application

The Policy applies to all career college students of Ontario College of Management and Technology

  1. The Scope

The Policy applies to complaints of sexual violence that have occurred on Ontario College of Management and Technology career college campus or at a one of our events and involves our students.

  1. Purpose and Intent

All of Ontario College of Management and Technology career college students have a right to study in an environment free of sexual violence. This document sets out our policy on sexual violence involving our students, defines the prohibited behaviors, and outlines our investigative processes for sexual violence.

  1. Policy Objectives

Ontario College of Management and Technology is committed to providing our students with an educational environment free from sexual violence and treating those students who report incidents of sexual violence with dignity and respect.

To that end Ontario College of Management and Technology will provide a copy of the policy to our students, and educate them together with our career college management, employees and contractors about this Policy and how to identify situations that involve, or could progress into sexual violence against our students and how to reduce it.

Where a complaint has been made, under this Policy, of sexual violence Ontario College of Management and Technology will take all reasonable steps to investigate it, including as follows:

  • providing on-campus investigation procedures to students for sexual violence complaints;
  • responding promptly to any complaint and providing reasonable updates to the complainant and the respondent about the status of the investigation;
  • assisting students who have experienced sexual violence in obtaining counselling and medical care;
  • providing students who have experienced sexual violence with appropriate academic and other accommodation; and
  • providing students who have experienced sexual violence with information about reporting options as set out in Appendix A;
  • The college will appropriately accommodate the needs of students who are affected by sexual violence, and identifies the specific official, office or department at the private career college that should be contacted to obtain such accommodations;
  • The students are not required to report an incident of, or make a complaint about, sexual violence under the process referred to in paragraph 1 of subsection (2) in order to obtain the supports and services referred to in clause (a) or the accommodation referred to in clause.
  1. Definition of Sexual Violence

This Policy prohibits sexual violence which means any sexual act or act targeting a person’s sexuality, gender identity or gender expression whether the act is physical or psychological in nature, that is committed, threatened or attempted against a person without the person’s consent, and includes sexual assault, sexual harassment, stalking, indecent exposure, voyeurism and sexual exploitation.

  1. Reporting and Responding to Sexual Violence

Students, faculty and staff of Ontario College of Management and Technology will take all reasonable steps to prevent sexual violence involving our students on our career college campus or events by reporting immediately to the Ontario College of Management and Technology designate if our students have been subject to, or they have witnessed or have knowledge of sexual violence involving our students, or have reason to believe that sexual violence has occurred or may occur which involves our students.

Subject to paragraph 7 below, to the extent it is possible, Ontario College of Management and Technology Designate will attempt to keep all information disclosed confidential except in those circumstances it believes an individual is at imminent risk of self-harm, or of harming another, or there are reasonable grounds to believe that others on our campus or the broader community are at risk.

Ontario College of Management and Technology recognizes the right of the complainant to determine how her or his complaint will be dealt with. However, in certain circumstances, Ontario College of Management and Technology may be required by law or its internal policies to initiate an internal investigation and/or inform police without the complainant’s consent, if it believes the safety of members of its campus or the broader community is at risk.

A complainant seeking accommodation should contact Ontario College of Management and Technology Designate.

  1. Investigating Reports of Sexual Violence

A complaint of sexual violence may be filed under this Policy, by any student of our career college, to the Ontario College of Management and Technology designate in writing. A complainant may ask another person to be present during the investigation.

Upon a complaint of alleged sexual violence being made the Ontario College of Management and Technology designate will initiate an investigation, including as follows:

  1. determining whether the incident should be referred immediately to police;
  2. determining what interim measures, if any, need to be taken during the investigation;
  3. meeting with the complainant to determine the date and time of the incident, the persons involved, the names of any person who witnessed the incident and a complete description of what occurred;
  4. interviewing the complainant, any person involved in the incident and any identified witnesses;
  5. interviewing any other person who may have knowledge of incidents related to the complaint or any other similar incidents;
  6. informing the respondent of the complaint, providing details of the allegations and giving the respondent an opportunity to respond to those allegations;
  7. providing reasonable updates to the complainant and the respondent about the status of the investigation; and
  8. determining what disciplinary action, if any, should be taken.
  9. Disciplinary Measures

If it is determined by Ontario College of Management and Technology that a student of our career college has been involved in sexual violence, immediate disciplinary or corrective action will be taken up to and including termination of employment of instructors or staff or expulsion of a student.

In cases where criminal proceedings are initiated, Ontario College of Management and Technology will assist police agencies, lawyers, insurance companies, and courts to the fullest extent. Where criminal and/or civil proceedings are commenced in respect of allegations of sexual violence Ontario College of Management and Technology may conduct its own independent investigation and make its own determination in accordance with its own policies and procedures.

  1. Making False Statements

It is a violation of this Policy for anyone to knowingly make a false complaint of sexual violence or to provide false information about a complaint. Individuals who violate this Policy are subject to disciplinary and / or corrective action, up to and including termination of employment of instructors or staff or expulsion of a student.

  1. Reprisal

It is a violation of this Policy to retaliate or threaten to retaliate against a complainant who has brought forward a complaint of sexual violence, provided information related to a complaint, or otherwise been involved in the complaint investigation process.

  1. Review

This policy will be reviewed 3 years after it is first implemented.

  1. Collection of Student Data

Ontario College of Management and Technology shall collect and be prepared to provide upon request by the Superintendent of Private Career Colleges such data and information as required according to Subsections 32. 3 (8), (9) and (10) of Schedule 5 of the Private Career Colleges Act, 2005 as amended.

Computer and Internet Usage

Use of the Internet by Students at OCMT is permitted and encouraged where such use supports the goals and objectives of their academic work. However, access to the internet through OCMT is a privilege and all Students must adhere to the policies concerning Computer, Email and Internet usage.

Internet use brings the possibility of breaches to the security of confidential Institution’s information. The Internet is a constantly growing worldwide network of computers and servers that contain millions of pages of information. Students are cautioned that many of these pages include offensive, sexually explicit, and inappropriate material that can harm OCMT’s network and computer system. Internet use also creates the possibility of contamination to our system via viruses or spyware. Spyware allows unauthorized people, outside the Institution, potential access to Institution’s passwords and other confidential information.

Violation of these policies will result in disciplinary action and up to expulsion. Students may also be held personally liable for damages caused by any violations of this policy. All Students are expected to abide by the rules hereunder:

  • All students have a responsibility to use the Institution’s computer resources and the Internet in a lawful and ethical manner.
  • Lying, including handing in computer programs or using computer programs generated by another as one’s own work
  • Replacing, modifying, or being a party to changing and/or altering of a grade on a computer
  • Emails sent via the Institution email system should not contain content that is deemed offensive. This includes, though is not restricted to, the use of vulgar or harassing language/images
  • OCMT’s computer network must not be used to disseminate, view or store commercial or personal advertisements, solicitations, promotions, destructive code (e.g., viruses, Trojan horse programs, etc.) or any other unauthorized materials.
  • Sending or posting discriminatory, harassing, or threatening messages or images on the Internet or via OCMT’s email service
  • Using computers to perpetrate any form of fraud, and/or software, film or music piracy
  • Stealing, using, or disclosing someone else’s password without authorization
  • Downloading, copying or pirating software and electronic files that are copyrighted or without authorization
  • Hacking into unauthorized websites
  • Sending or posting information that is defamatory to the Institution,
  • Introducing malicious software onto the Institution network and/or jeopardizing the security of the organization’s electronic communications systems
  • Passing off personal views as representing those of the organization.

Occasional limited appropriate personal use of the computer is permitted if such use does not a) interfere with a student’s or any other student’s academic work; b) have an undue effect on the computer or institution network’s performance; c) or violate any other policies, provisions, guidelines or standards of this policy or any other of the institution. Personal use of the computer is a privilege that may be revoked at any time.

Alcohol/Drug/Weapon

All students are required to adhere to OCMT’s published code of conduct. Where the violations do not have the potential to result in physical harm to persons or property OCMT may expel a student who has received suspension for failure to comply and has since violated any of the terms of OCMT’s code of conduct. Students who are found under the influence of drugs and/or alcohol or carrying weapons will be subject to immediate expulsion.

Updating the College about Changes to Personal Information

All students are required to notify the College immediately there has been a change in personal information, such as change of address, phone number, name, or email address. This must be submitted to the Administrative/Reception Office by requesting and completing a “Change of Personal Information” form.

Students Personal Belongings

Students are responsible for the safekeeping of their own personal belongings. The College will not be held liable for any loss or damage to personal property and strongly advise that all students obtain their own personal insurance policies to cover any loss within the school.

Use of College’s Equipment

OCMT’s equipment are provided to students with the purpose of carrying out their academic work. No equipment must be removed from the school or take for personal use without a prior written permission from the College. Students who damage, misuse, steal or otherwise use the property in a way that is prohibited may be expelled and required to make restitution. A student who is expelled is responsible for the return of any College’s property in his/her own possession within 10 days and will be held financially responsible for any property not returned in good condition or as outlined in the student contract.

Attendance/Class Participation

At OCMT, full attendance is strongly encouraged. Attendance or class participation is taken at every class and is part of the evaluation tools for all courses. Students who do not achieve required attendance in accordance with the program requirement may be subject to expulsion. Students who are absent from class for more than five consecutive days without cause or written notice provided to their instructor or Administrative Office may be automatically expelled from their program. Students are expected to comply with the attendance policy for co-op placements that are part of a program curriculum and as described in course outlines. Students must inform their instructor if they are going to be absent for any reason and discuss the feasibility of alternate options for completing and grading any missed classes, tests, quizzes, assignments, or other evaluative methods as indicated in the course outline. Any classes or labs missed by a student becomes the responsibility of the student to learn the materials missed. OCMT is not responsible for ensuring that any missed classes or materials is provided to the students. An instructor will determine if it is possible to provide a make-up for any missed assignment or test.

Use of Photocopier Machine

Use of the photocopier machine is limited to office and school work only. The photocopier machine is not to be used for printing personal materials, including personal business-related items or anything with little or no use to the College. All printing requests must be communicated to the AdministrativeReception Office before each use. Priority of printing is granted to office use first followed by those with fewer printing requests. There is a maximum printing limit of 100 pages per each student depending on the program requirement and case-by-case basis. For further information, talk to the Administrative Office Assistant.

Absences/Lateness

For the purpose of student safety, proper learning, and grading of courses; it is imperative that a student consistently informs his/her instructor or Administrative Office whenever there will be absences or lateness. Personal emergencies or illnesses are viewed as absenteeism from programs. Therefore, the College will not adjust the tuition fee schedule nor the completion date as a result of the absences except a written notice is received by the Administrative Office in the following cases:

  1. A prior written notice in the case of planned absences (which will be adjusted based on Program Completion Timeline), Or
  2. A doctor’s note in case of medical emergencies or hospitalizations lasting more than three days (which could be provided during or after the medical event as long as it signifies the period of the medical emergency)

It is the sole responsibility of the student to make up any lost time for all leave of absences or lateness. If a student is absent for more than five consecutive days without a prior written notice to the school may be expelled. Students who are expelled could appeal the decision within three business days of the expulsion notification. If the appeal is unsuccessful, the student will be considered withdrawn from OCMT.

Harassment

OCMT does not condone harassment or discrimination of nay student, staff, client or visitor to the College. Students participating in harassing or discriminatory activities are subject to immediate suspension pending investigation. Expulsion is mandatory for any student who is deemed by the investigation to have engaged in harassing or discriminatory activities.

In determining what constitutes harassment or discrimination, OCMT refers to The Ontario Human Rights Code. Students requiring more specific information may refer to the specific code as posted on the Provincial web site.

Withdrawal

All withdrawals must be done in writing and forwarded to the Administrative Office. A student who withdraws from their program within 15 days of the start of the program will be entitled to partial refund in accordance with the Private Career College Act 2005 refund policy as described in the student enrollment contract. If the Administrative Office does not receive a written letter of withdrawal and the student has been absent for more than five days, the student will be considered expelled from the school.

Transfers

OCMT accepts course transfers from other Canadian post secondary institutions as long as the course aligns with the course contents and objectives of the course offered at OCMT. Credit transfer will be given on a course-by-course basis. There is a $100 processing fee for assessing and awarding each course credit. Awarding credit for a course however does not reduce the overall tuition fee for the program, but only reduce the course load for the student. In other words, the student will not have to take the course if a credit is awarded based on assessment.

Violence  

OCMT is committed to the right of all College staff, students, clients and visitors to be safe. Students who by action or neglect in any way endanger the safety of themselves or others may be expelled.

Smoking

To improve the indoor air quality and to contribute to the well-being of all individuals within OCMT, the College has a smoke-free policy. Smoking is prohibited around the College premises.

Telephone Use

Use of telephones are permitted only during emergencies. Cell phones must be turned off while taking classes. For emergencies and job-related calls, the Reception Office can be contacted for help during classes. Students must however give the College’s number to those who may need to contact you in case of an emergency during scheduled school day and class time.
